Avoid ambiguous spaces
Use a consistent naming convention. Do not create several room labels just because each surveyor abbreviates differently.
Structured asset registers
A structured asset register gives surveyors, reviewers and facilities teams a shared way to locate and understand building assets.
Illustrative record
An equipment description without a reliable location is difficult to act on. A register should explain which site, building, floor and space contains the item, as well as what the item is.
NUtech supports a location hierarchy that keeps this context alongside the asset. Consistent names make later updates, searches and handovers easier, particularly when several surveyors work across the same estate.
| Information | Purpose | Example — illustrative |
|---|---|---|
| Location hierarchy | Makes the item findable | North site → Building A → Ground floor → Plant room |
| Description and identifier | Distinguishes similar equipment | Heating circulation pump; reference P-014 |
| Manufacturer and observation | Supports consistent interpretation | Manufacturer transcribed from nameplate; status recorded on visit |
| Photographs | Provides supporting evidence | Overview image and readable nameplate |
| Review status | Shows whether the version has been checked | Pending review or approved |
Use a consistent naming convention. Do not create several room labels just because each surveyor abbreviates differently.
Record what was observed and what could not be verified. A blank field should not silently become an invented value.
An approved record is a reviewed version, not permanent approval of every future edit.
Company workspaces separate access to records. Users should be assigned only to the workspaces and roles they need.
Yes. A representative site is a practical way to agree the hierarchy and required information before expanding.
