ready to hand over?

1. Check the location hierarchy.

Choose several records from different buildings and follow their location path. Can somebody unfamiliar with the survey find the room? Look for missing spaces, inconsistent floor names and repeated room labels that actually refer to different locations.

Agree the naming convention before making bulk changes. Similar text is a signal to investigate, not permission to merge locations automatically.

2. Compare identity with evidence.

Check that descriptions and identifiers distinguish neighbouring assets. Photographs should support the record: an overview provides context, while a clear nameplate image helps confirm manufacturer and model information.

Where an identifier cannot be read, retain that uncertainty. Guessing a serial number produces a complete-looking record that may be harder to correct later.

3. Review consistency and contradictions.

Check manufacturer variations, spelling and potentially duplicated records. Then compare operating status with maintenance notes. An item marked operational alongside a note saying it does not run needs clarification.

Record the reason for a correction or override. The aim is to preserve the observation accurately, not to force every record into an apparently clean set of values.

4. Inspect the final handover.

Confirm the expected sheets and columns, examine a representative sample after export and check which records are approved. If pending information is included, make its status visible.

Retain the source workbook and establish which reviewed version is being delivered. Agree how the receiving team should handle unresolved findings.
