Before the site visit.

Open the installed field app while online. Sign in to the correct company, prepare the offline workspace and download the site information needed for the visit. Check that you know the device’s offline password.

Confirm available storage and battery. Test saving and reopening a sample record with connectivity disabled on the actual device you plan to use. Existing server photographs are not automatically available offline.

During collection.

Save records regularly and check the correct site, building, floor and space. Take photographs that explain the asset rather than accumulating near-identical images. Review clarity before leaving the location.

Local storage is not a substitute for a server backup. For longer visits, use connection opportunities to synchronise and keep an encrypted backup according to the agreed team procedure.

When a connection returns.

1. Open and authenticate

   Reopen the app and sign in online if required. Unlock the local workspace using its offline password.

2. Run synchronisation

   Keep the app open and allow pending changes and photographs to upload.

3. Handle exceptions

   Investigate errors or conflicting edits instead of assuming a connection indicator means the work is uploaded.

4. Verify elsewhere

   Open the site on the office device and confirm asset details and photographs before treating the visit as handed over.

If something goes wrong.

Do not clear browser data, uninstall the app or reset the device while it holds unsynchronised work. Preserve an encrypted backup where available and record the error and affected site.

If a password or account-access problem blocks upload, separate that issue from the saved local data. Resolve access before attempting actions that could discard the workspace.
